Narrative

This proposal requests funding for Otter AI Teams and three licenses for Adobe Premiere Pro for Education to provide accommodations for students registered with Student Accessibility Services (SAS) who are Deaf and Hard of Hearing and Learning Disabilities. Otter AI Teams provides live captioning for Zoom and audio/transcripts for students with learning disabilities, lectures. This provides Deaf and Hard of Hearing and Learning Disabilities students with an equal level of accessibility and substantially saves FAU funds. Live captioning, audio files and transcripts provide access to students in classes that are online or in person for courses where SAS is unable to recruit paid or volunteer notetakers. Adobe Premiere Pro has added a new feature to assist creating closed captioning for video content. This new tool can assist SAS staff be more efficient in creating and adding closed captioning to video content for faculty. With SAS creating the closed captioning we are saving the University. The average outsourced closed captioning can cost anywhere from $1 per minute to $15 (medical/technical captioning) 24 hours (high cost) to one week turnaround time. With three trained staff members we can easily create the captions in house with a shorter turnaround time using Adobe Premiere Pro. This proposal will address increased demand due to a current increase in students registering for services at FAU. Adobe Premiere Pro Licenses for one year (3 licenses @ $179.88) $639.64 Otter AI Teams for two years (70 users) $9,730 Total: $10,369.64

Timeline

Otter AI Teams will be expiring in 2022 and want to continue to use the services for faculty and staff. Want to renew the contract. SAS previously covered this expense last year from our budget. Adobe installed on staff computers as soon as purchased

Sustainability

SAS continues to provide closed captioning services to faculty that video content for their courses that a deaf or hard of hearing student is registered. This saves the university money by doing it in house. By having Otter AI and Adobe Premiere Pro helps SAS staff to be more efficient in captioning the video content in a timely manner for our students and our faculty. Otter AI also provides live captioning and Audio Recordings with Transcripts for students that need notetaking assistance and SAS is unable to recruit volunteer notetakers. SAS is providing these services to provide equal access to our students educational pursuit at FAU. Making sure that video consent is captioned protects the University lawsuits regarding accessibility issues.
